Business Order Information - Bulk Actions

Configure Multiple Business Order Information settings simultaneously, reducing manual effort, and streamlining configuration management across your organization.

Bulk upload is most effective for large-scale configurations (5+ BOI fields), multi-group deployments, and ensuring consistency in business order information (BOI) across your organization. It is also useful during the initial setup of new accounts, allowing you to manage BOI efficiently across your organization.

  1. From Business Settings, navigate to the Business Order Information page.
  2. From the Actions menu, select Upload and edit in bulk.
  3. Download and open the template in your preferred spreadsheet application
    1. If you have existing BOI fields enabled within your account, the current fields will show in the template file.
  4. The template has multiple tabs at the bottom. Use these tabs to complete your configuration successfully
  5. Each row represents 1 configuration setting for all account groups and subgroups
  6. When adding multiple dropdown options, separate them with semicolons (;). Check the Defined lists tab to see all the available choices for dropdown fields.
  7. Navigate to Upload and edit in bulk, and upload the template by one of 2 options: Select Drag and drop a single file or select a file from your computer.
  8. Monitor the processing status on the Activity page.
  9. If you receive an error, download the feedback file from the Activity page.
    1. Review the Validation Results column to identify the failed rows.
    2. Review the Errors Detected column to understand the specific issue.
  10. Repeat the steps to upload the corrected file.

Column-by-Column Instructions

Column A: Group Path

  • Switch to the Group Path tab at the bottom of Excel
  • Find your organization's group name
  • Copy the EXACT name (including spaces and punctuation)
  • Paste it into Column A of the main tab
  • Subgroups inherit parent setting unless you specify different ones

Column B: BOI Label

  • Enter the field name (for example, PO number, GL code, cost center, location, Project code, Department, and custom fields) as needed
  • This label is what your users will see when placing orders
  • Keep names clear and consistent across your organization

Column C: Custom Value Label

  • If the BOI label selected is custom field 1-13, provide a custom field name
  • Maximum 30 character limit

Column D: Open text field or List of Defined Options (required)

  • Open Text Field: The users can type anything they want
  • Go to the relevant field tab (for example, the "PO Number" tab)
  • Enter your options - one in each cell (for example, Option 1; Option2; Option3)
  • List of Defined Options: Users select from a dropdown menu that you create

Column E: Default Option

  • If Column E = "List of Defined options":
  • List of Defined Options: Users select from a dropdown menu that you create

Column F: Enabled?

  • Enabled: Field will appear during checkout
  • Disabled: Users will not see this field.

Column G: Group Path

If you have chosen required, a buyer must enter the information for this field to complete the checkout process.

  • Required: Users must fill this field to complete orders
  • Optional: Users can skip this field

Common Errors

  • Error: File type is unsupported. Save the file to .xlxs or.xls format.
  • Error: File too large. File size must be less than 10 MB.
  • Error: Group name not found in your account. Verify the exact group path.
  • Error: Invalid options format. Verify the formatting. For example, use a semicolon rather than a comma.
  • An error within a specific cell: Make corrections directly in the cells containing errors without modifying the structure of the file or removing columns
