Add an approvals workflow to buying policies
Approvals help you track and manage employee purchases across your business accounts with enhanced visibility and control. Administrators can set up approval policies at both the group level and create custom policies for individual requisitioners.
To add approvals workflows to buying policies:
- Go to Business Settings.
- Select Buying policies & approvals.
- Select Add policy.
- Select either Preferred policies, Restricted policies, or Blocked policies. (Certain buying policies are available exclusively to Business Prime members.)
- Choose the type of policy that you would like to add from the list of available policies.
- Give the policy a title (visible only to Administrators) and a message to buyers.
- Choose whether the policy applies to only the group you have chosen, or the group and its subgroups. If you choose this group and its subgroups, the approval settings apply automatically to any subgroups you create.
- If your organization uses Business Order Information (BOI) fields (for example, Cost Center, PO, or Location), you can choose a BOI field and value to trigger the approval workflows, if desired.
- In the Approval workflow section, enter the names or email addresses of the approvers for the top level and press enter. You can enter up to 10 people per level, but we require only 1 approval from each level.
- If desired, select Add approval level and enter the names or email addresses of the approvers for that level. You can add up to 6 levels of approval.
- Select Save.
Note:
- If a group already has designated approvers, choose Use group approvers under Approval workflow to make them default approvers for the policy.
- You can manage group approvers for your groups in Approval settings.
- Keep in mind that approval policies for a requisitioner override approval policies at the group level.
- You can associate people with more than 1 group.
- Custom approval overrides and super-exceeds policies, but doesn't replace more approvers.
- Currently, approvers can add more approvers only if they are also a buyer who makes purchases.
